How to Submit a Tender or RFQ

Our RFQ and tender process is designed to give procurement teams a fast, documented response with no back-and-forth delays. Here is how it works:

Send Your RFQ or Tender Package

Email your RFQ, tender drawings, scope of work, and required submission format to estimating@alasya-construction.ca. Include the project address, submission deadline, and contact name. For urgent submissions, call 905-917-4568 and reference ‘commercial tender’ — we will prioritize your file.

Site Review and Scope Confirmation (within 48 hours)

We review the scope and, where required, conduct a site visit to assess conditions before pricing. For most commercial exterior scopes, a site visit is necessary to accurately price substrate conditions, access requirements, and material quantities. We schedule site visits within 48 hours of receiving the package.

Tender Submission (within deadline)

We submit a fully itemized tender document in your required format — or our standard format if not specified. Submission includes: line-item breakdown of labour and materials, project timeline with milestones, CPM schedule for projects over $50,000, list of subcontractors (if any), and full credentials package.

Award and Mobilization

Upon award, we issue a formal contract, provide all required insurance and WSIB documentation, and establish a project management contact for your team. Mobilization timelines depend on project scope — we confirm scheduling at contract execution and provide written timelines for all phases.

Site Execution and Progress Reporting

Your dedicated project manager provides regular progress updates in your preferred format (email reports, site meetings, or portal updates). We maintain daily site logs, photograph progress at all stages, and flag any scope change conditions in writing before proceeding.

Standard commercial tender turnaround is 5–7 business days from receipt of full drawings and scope documentation. For urgent submissions (48–72 hours), call 905-917-4568 directly and reference ‘priority tender’ — we will allocate estimating resources accordingly. Rush submissions may require a site visit fee for projects requiring immediate site access.

Yes. Send a prequalification request to estimating@alasya-construction.ca and we will provide our full credentials package — including WSIB, insurance certificate, certifications, and project references — within 24 hours, no RFQ required.

Yes. We are an experienced exterior trade contractor and have worked as a named sub on GC-managed projects across the GTA. We provide all documentation required by GCs including WSIB clearance, insurance naming the GC as additional insured, and sub-contract execution within standard GC timelines.

For projects requiring bonding, contact us at the RFQ stage. We work with surety providers for qualified commercial projects. Bond availability and capacity depend on project size and type — discuss your project’s bonding requirements with us early in the process.

We accept commercial projects from approximately $10,000. For projects below this threshold, contact us for a standard free estimate rather than a formal tender process. All Alasya Construction employees are covered under Schedule 1 WSIB. Any subcontractors deployed on commercial projects are required to provide WSIB clearance or proof of personal WSIB coverage before mobilization. Certificates are available to you upon request.
